How to Change Permission Level of Shared OneDrive Files and Folders


You can easily save your files to OneDrive and get to them from any device, like your Windows 10 PC, Windows 10 tablet, or Windows 10 Mobile phone.

You can use OneDrive to share photos, Microsoft Office documents, other files, and entire folders with people.

You can stop sharing an item, or change the permissions others have to it, if you are the owner of the item or have edit permissions.

This tutorial will show you how to change the permission level of OneDrive files and folders you shared with people or have edit permission.

OPTION ONE [/i] To Change Permission Level of OneDrive File or Folder Shared by a Link
1 Go online to your OneDrive at Microsoft, and sign in if you are not already.

2 Remove the link of the shared file or folder to stop sharing it. (see screenshot below)



3 Get a new link to share the file or folder with the permission level you want instead. (see screenshot below)








OPTION TWO [/i] To Change Permission Level of OneDrive File or Folder Shared to People or Group
1 Go online to your OneDrive at Microsoft, and sign in if you are not already.

2 Click/tap on the Information icon in the toolbar at the top right corner to show the Details pane. (see screenshot below)



3 Select (check) a shared file or folder that you want to change the permission level of, and click/tap on the Can View or Can Edit permissions menu in the Details pane under the person or group you want to change the permission level of. (see screenshot below)



4 Click/tap on Allow edit, Change to view only, or Stop Sharing for the permission level you want. (see screenshots below)

Change to view only (view only) - When you share items with this type of link, people can view, copy or download your items without signing in. They can also forward the link to other people.

Allow edit (view and edit) - When you share items with this type of link, people can edit files, and can add or delete files in a shared folder. Recipients can forward the link, change the list of people sharing the files or folder, and change permissions for recipients. If you're sharing a folder, people with Edit permissions can copy, move, edit, rename, share, and delete anything in the folder.

Stop sharing - This will remove the file and folder from the person's shared list, and they will no longer have access to it.

Hi, thanks for writing this, however I am having an issue - I have a mainfolder with 5 subfolders. What I want to do is to share the main folder but then go into just 1 of the sub folders and stop sharing just that sub folder - however even when I click on the sub folder I want to remove, go to info, click stop sharing - what happens is that onedrive seems to then stop sharing the entire main folder - can any one help ? Thanks, James

As a workaround, you could move the one subfolder you don't want to share out of this shared main folder. This way the subfolder will be its own main folder not being shared.

 

Thanks for that response - and I see what you mean, but it does not solve the problem as if you have multiple main folders, setting up a separate folder to house the stuff you do not want to share is a bit cumbersome - but you are right - it has to be a work around, as right now I do not think MS supports this - however google drive does allow this, so....

You could also just share only the sub-folders, but Just to further explain the reason I do not want to use the method of only sharing the sub-folders is that I want the people I share with to have / inherit the folder structure I set-up - so for example:

• 0001 - main folder 1
  • letters
  • photos
  • receipts
  • bills

• 0002 - main folder 2
  • letters
  • photos
  • receipts
  • bills

Is what I want on my drive and sync'd to my PC - and when I share with people, I want them to use / have the same folder structure - but just not have access to the " bills " sub folder.


If I only share the sub-folders - then as you can see, there will be no way to know this is part of the main folder 0001 or 0002

It looks like anything in a main folder will inherit the same permissions from the main folder.

Other than making the "bills" folder a separate not shared main folder, I don't see any way around not sharing a subfolder when the main folder is shared. *Sad
