Windows 10: Important updates to Guest Access defaults in Microsoft Teams in Feb.

In Teams support, we often receive questions from customers seeking help when working with Guests â especially from new tenants. You can guess how excited we are to see Guest Access be enabled by default in Teams for new tenants starting on February 8, 2021. This default behavior follows the rest of the Office 365 suite where Guest Access is already enabled, so this should empower new tenants to collaborate with greater ease, while also still supporting the same deep controls to adjust guest settings to fit individual organizationsâ needs.

With this being a support focused blog, let's talk about some things that customers may have questions about related to Guest Access being enabled by default.

The biggest question is â what is going to happen?

Until February 2021, guest access is still turned off by default. You must turn on guest access for Teams before admins or team owners can add guests. After you turn on guest access, it might take a few hours for the changes to take effect. If users see the message Contact your administrator when they try to add a guest to their team, it's likely that either guest access hasn't been turned on or the settings aren't effective yet.

After February 2021, guest access in Microsoft Teams will be turned on by default for new customers & existing customers who haven't configured this setting. When this change is implemented, if you've not already configured guest access capability in Microsoft Teams, that capability will be enabled in your tenant. If you want guest access to remain disabled for your organization, you'll need to confirm that the guest access setting is set to Off instead of Service default.

Q: When will these changes impact my tenant?
A: The changes will start to roll out beginning February 8, 2021 and should complete within about a week.

Q: My tenant has Guest access enabled, but I don't want that. How can I turn off Guest Access in Teams?
A: Follow these steps:
1. Sign in to the Microsoft Teams admin center.
2. Select Org-wide settings > Guest access.
3. Set Allow guest access in Microsoft Teams to Off.

Q: I already have Teams and Guest Access is enabled, will anything change?
A: No, you will continue to have Guest Access and no action is needed.

Q: I'm still having trouble with Guest Access, what should I do?

Microsoft Teams adds guest access

Since Microsoft Teams became generally available six months ago, more than 125,000 organizations have discovered how teamwork comes to life in Teams. Today, Teams is getting even better with the rollout of guest access to all Office 365 commercial and education customers. Now Office 365 users can add people from outside their company to a team, so guests can participate in chats, join meetings, collaborate on documents, and more. We also announced new developer tools for Teams, which you can read more about over on the Office Dev blog.

Guest access has been one of the top requested features for Teams among our customers, and we’ve been working hard to get it right. We designed guest access in Teams with three principles at the forefront:

Teamwork—Teams come in all shapes and sizes, and you need to be able to easily communicate and share with others you want to work with, including people outside your organization. Beginning today, anyone with an Azure Active Directory (Azure AD) account can be added as a guest in Teams. That means anyone with one of the more than 870 million user accounts—across Microsoft commercial cloud services and third-party Azure AD integrated apps—can be added as a guest in Teams. Later, we’ll add the ability for anyone with a Microsoft Account (MSA) to be added as a guest in Teams. If the guest doesn’t have an existing MSA, they will be directed to create a free account using their current corporate or consumer email address, such as Outlook.com or Gmail.com.

Security and compliance—Customers have told us they expect guest access in Teams to provide enterprise-grade security and compliance assurances. In Teams, guest accounts are added and securely managed within Azure AD through Azure AD B2B Collaboration. This enables enterprise-grade security, like conditional access policies for guest user access. Azure AD also uses adaptive machine learning algorithms and heuristics to detect anomalies and suspicious incidents, enabling mitigation or remediation actions, such as multi-factor authentication, to be triggered as appropriate. In addition, with Azure AD, IT departments have unparalleled insight into the activities of external users in their organization through detailed sign-in and access reports. Guest user content and activities are under the same compliance and auditing protection as the rest of Office 365.

IT manageability—Guest access in Teams comes with the ability for IT to centrally manage how guests participate within their Office 365 environment, providing consistency across application experiences in Office 365. IT admins can quickly and easily view, add, or revoke a guest’s access to the host tenant.

We’re starting to roll out the ability to add anyone as a guest in Microsoft Teams. This means that anyone with a business or consumer email account, such as Outlook.com, Gmail.com or others, can participate as a guest in Teams with full access to team chats, meetings and files. Previously, anyone with an Azure Active Directory (Azure AD) account could be added as a guest, and now anyone with an email address can be added to a team. All guests in Teams are covered by the same compliance and auditing protection as the rest of Office 365, and can be managed securely within Azure AD.

How it works

To invite a guest to a team, select Add Members in the menu next to the team name. Then add the guest’s email address. They will receive a welcome email message with information about the team and what to expect now that they're a member. If the guest doesn’t yet have a Microsoft Account associated with their email address, they will be directed to create one for free.

Once they accept the invitation, guests can participate in chats, join meetings, collaborate on documents, and more. Teams with guests will be identified with text and icons throughout the Teams UI to give all team members a clear indication that there are guests in that team.

FAQ

Who can use guest access?
Guest access is included with all Office 365 Business Premium, Office 365 Enterprise, and Office 365 Education subscriptions.

How do I enable guest access
Guest access is a tenant-level setting in Microsoft Teams and is turned off by default. To take advantage of the new functionality, admins need to enable guest access in the Office 365 admin center

If I already enabled guest access when Azure Active Directory (AAD) guest access became available, do I need to take any additional action to enable guest access for consumer email accounts?
If you have already enabled guest access, then your users will be able to add guests with a consumer account without additional action on your side.

If you enabled guest access with the expectation that you wanted to restrict it to AAD accounts only, you can disable guest access via the Teams setting by switching the feature off.

Try these steps and you should be able to delete the guest account:
Press the WIN + X keys and select "Command Prompt (Admin)" from the Quick Access menu.
