Indexing of MANY names for a cemetery book

Need to create index for hundreds of different names. I know how to mark individual names but cannot find a more simple way to mark literally hundreds of names. Seems there should be a way but I cannot find it.

  3. Readu - How do I get my money back?

To add insult to injury, I've just discovered that all my books, which were indexed by title, are now indexed by their Dropbox file name (author > title) which now means that any new titles that I download will not be in alphabetical order as they will
    be indexed by title..

Since there is no search facility on on Readu, this means that finding books will be a complete lottery, or I will have to delete and re-download all my books (200 plus so far).

    Most unimpressive.

Could someone from Microsoft please respond as to the procedure for getting a refund?

You may not want to do this but how I did it for a friend was
    Create a main folder
Then made 26 other folders of A-Z
Then all we did was put all name with A in one right through to Z
He has been using it now for over a year and so far has had no trouble
When he wants them he opens main folder then goes to whatever folder he wants and up comes all the names beginning with that letter

With over 110K names at currently half complete (over 25 books). the folder option is just too much. Additionally, there will be pagination changes after multiple edits so, this index will need automatic updates, too.

Was thinking there might be a way using a special font???

Additionally, this will be a printed book.

  6. Ok right got you
His is just sat on his computer and when he needs a print out just goes to whatever names he wants
Have you looked in Word at all and make like a mailing list
But what I have put are the only ways I know how to get nearly what you are on about
Have you looked under People in the App section of Windows 10 as all my contacts have been put in A-Z with their contact details etc

If you have access to Office (either a recent MS office or one of the free clones), you should be able to use Excel to create a database of all your data and then use the available data functions of Excel to sort , print and many other options on your data.

It would ideally be a task for a full blown database Management System such as Access, but Excel has a surprising range of database functionality as standard and then has VBA for writing your own specialist functions if the unlikely case of not being able to do what you need with the defaults.

Excel can handle a table of 16000+ Fields and 1000000 records so is capable of handling your numbers

You can also use the database table created to perform a mail merge with Word which could automatically mark any field or set of fields to be indexed

Indexing of MANY names for a cemetery book

    Hi there.

Even if you DON'T have Office - WPS Office (free version) runs pretty much compatible with EXCEL (although can't run VBA macros).

However for what you need to do the WPS EXCEL equivalent is fine (and can be read / manipulated with standard Ms EXCEL too.

People often mention LibreOffice but WPS is much more compatible. (Works in LINUX too for those using Linux).

The Most Compatible Free Office Suite - WPS Office

I'd steer WELL CLEAR of ACCESS --it's a horrible DB system, breaks easily and can't handle concurrent usage. Use MySQL or DB MARIA (both free) if you want a decent FAST full blown DB system although this solution might be over the top for what I think you need.

These Proper DB systems have good security, concurrent access and easily available from the Internet too so remote users can use it. Proper SQL available too for queries - although there are decent GUI's for this stuff as well.

Look for W.A.M.P projects for Windows or L.A.M.P stuff for Linux (Windows/Linux, Apache MySQL, PHP)
Good tool also phymyadmin is a great GUI for managing DB and users.

Plenty of ways to implement -- such as WampServer, la plate-forme de developpement Web sous Windows - Apache, MySQL, PHP

Link in spite of title is in English !!

    For Linux

LAMP (Linux, Apache, MySQL, PHP) HOWTO: Installing MySQL and Apache with PHP support on Linux

Okay... I appreciate your comments. Let me clarify that these names come from a database and each names contains other information consisting of several lines -- this is not a mailing list but a records of the dead in cemeteries. In order to make the information fit the (to be) printed page, the records are cut and pasted as text into Word and the formatted to be eye-pleasing.

Sec, Row, Plot, Surname, Given, Maiden, Birth, Death, Age, Military
    Notations
    Example:
    A, 1, 3, Young, George, , 18 Apr 1876, 24 May 1900, 24y,
    2010: d. Pittsburgh PA Cholera.

For each record's Surname, Given, Maiden I need to have an index which includes page number (which can be updated) with text additions to other parts of the book.

The page numbers coming out of the database do not reflect the page numbers in the Word document (book).

    Hope this helps.

It is not fully clear to me what you want with indexing and pagination, but an excellent database programme is Filemaker Pro. It is not free.

  11. The way you have set it out then Excel will be the one to use

Well, like with the manual index marking and creation within Word, I need the LARGE index to automatically update when the pagination changes (when text changes the page numbers in Word AFTER the index has been created.

I cannot created this LARGE index within Word -- that is what I need to do... If I create it outside of Word, Word does not recognize it to update it.

Indexing of MANY names for a cemetery book

Edit: Sorry I didn't notice that Barman58 has already posted the same suggestion. *Doh

I probably haven't understood the problem, but I was wondering if a mail merge might help?
    That is,
    • unformatted data is in Excel (or Access), then
    • Word has a formatted version of the fields for one person, using Mail Merge fields
    • This could include word field codes around the name, so it can appear in Word's index at the end
    • Link the word fields to the Excel data fields
    • Mail-merge it into a new document and save the document.
    • Add the Word index to the end and update it to generate
But I could be getting hold of the wrong end of the stick. (Does that expression work outside the UK? *Wink )

Yes, thank-you. However, the page numbers will not be update-able as would a Word-generated index.
