Windows 10: New features now available in Microsoft Teams

In the months since remote work became the new normal for many of us, weâve all had our fair share of âvirtual everything,â from customer meetings to online events and virtual team gatherings. Businesses of all sizes are using Microsoft Teams to stay connected, whether as part of their Microsoft 365 plan, or the free version of Microsoft Teams, which enables you to meet, chat, and collaborate securely, all in one place, at no cost.

Here are five things about the free version of Teams that make remote work easier, including new features now available.

1. Schedule meetings with anyone
Earlier this year we delivered scheduled meetings in the free version of Teams, answering one of the most frequent feature requests. When scheduling a meeting, organizers can either copy the meeting link to send it directly to other participants or send an invite via Outlook or Google calendar. Anyone, including external participants, can join meetings in one clickâno setup or account required.

Now, we are also adding the ability to view past and upcoming meetings in Teams. Soon youâll be able to view and edit all the meetings you scheduled in Teams, including their security options, right from the Meetings app on the left rail.

2. Reduce meeting fatigue with Together mode
Together mode is a new meeting experience in Teams that digitally places meeting participants in a shared background. Itâs great for meetings in which multiple people speak, such as brainstorms or roundtable discussion, because it makes it easier to pick up body language and non-verbal cues. Together mode is now available in the free version of Teams with a variety of scenes including auditoriums, conference rooms, and even a coffee shop.

3. Work with external stakeholders using guest access
Often you need to collaborate with people outside your organization, such as clients, suppliers, and partners. You can do so directly in Teams by adding them as a guest. Guest access allows you to provide access to certain teams and chats to people outside the organization, while maintaining control over your company data.

Note: Guest access is not required to join a meeting.

4. Share files with built-in cloud storage or integrate your existing storage
The free version of Teams comes with 10 GB of team cloud storage and 2 GB of personal cloud storage per user. This allows organizations to securely store, access, and share important documents in Teams. You can even co-author Word, Excel and PowerPoint files with colleagues in real time within the Teams app.

Want to keep using your existing cloud storage service? No problem. You can easily integrate third party storage providers such as Google Drive, Dropbox and Box, enabling you to view, manage, and share those files in Teams as well.

5. Brainstorm together with Whiteboard in Teams
Whiteboard in Teams makes it easy to run brainstorming and creative thinking sessions in a remote or hybrid work environment. Each Teams meeting has a dedicated whiteboard where participants can draw, sketch, and write on a shared digital canvas. You can also quickly add sticky notes to a whiteboard, making it easy to contribute if youâre not using a digital pen.

Microsoft Teams personal features now available to desktop and web

Since the outbreak of COVID-19, it’s become a challenge for many of us to balance the various aspects of our lives. Whether it’s our jobs, homeschooling our kids, or coordinating virtual meetups with friends, managing all of this on a daily basis can get stressful. As a result, tools that help us stay on track and free up time for recharging have become more and more critical. Ever since we expanded Microsoft Teams beyond work and school and announced the preview of personal features in the Teams mobile app, I have found it helpful to organize and plan activities in my day-to-day life. From using tasks to track my grocery shopping list to scheduling virtual birthday celebrations, Teams has become my all-in-one hub for organizing my personal life.

Today, we are excited to announce the preview of more new personal features in Teams that will make it even easier to manage and plan your days. To begin with, you can now add your personal account in the Teams desktop or web app to chat with or call friends and family. With group chat and video calling now available on both desktop and mobile, connecting and organizing with loved ones will be easier than ever before, especially with holidays around the corner. We are also adding new features in preview in the Teams mobile app, such as the ability to chat with friends or family who don’t have Teams on their phones1, location alerts that let you know when someone leaves or arrives at designated locations2, and more.

Chat and call friends and family—right from your desktop

Since most people started working from home, the time we spend on our computers has risen dramatically. If you use your computer to send work emails and your phone to chat with friends and family, it can become difficult to keep track of incoming messages across all your devices. We want to make it easier for you to stay on top of your important communications—across your work and personal life—without having to constantly switch between devices. Now, you can add your personal account in the Teams desktop or web app and sync all your chats to your computer so you can carry on conversations on whatever device you prefer. Plus, you can use the Teams desktop or web app to call friends and family, even if they don’t have Teams installed, making it easier to connect with loved ones during the holidays. Your work and personal accounts open in different windows or browser tabs on your computer, making it easy to keep them separate.

The following features are now available in preview in the Teams desktop and web apps, with more features coming soon:

Start a personal chat or create a group chat with up to 250 people.

Seamlessly sync your existing chats from your phone to your computer and carry-on conversations on the device of your choice.

Talk all day for free with friends and family via video or audio calls.3

Share video meeting invites with anyone, even if they don’t have Teams, and see up to 49 of your friends and loved ones in one frame in Gallery view or Together mode.

Upload and share photos and videos from your computer in any personal or group chat.

To start using personal features in Teams on your computer, follow these steps:

If you are new to Teams, download the Teams desktop app and sign in with a personal Microsoft account or create a new one to get started.

If you currently use the Teams desktop app at work, click on your profile picture on the top-right corner and select ‘Add personal account’. Upon successful login, Teams will launch a new window containing your personal chats and groups so it’s easy to switch between your work and personal accounts.

Note: We are slowly rolling out the option to add a personal account to existing commercial users. So, if you don’t see this option to add your personal account, you may have to wait until your app is updated or for your IT admin to enable it within your organization.

If you want to use the personal features in Teams in your web browser, go to this link and sign in or create a new personal Microsoft account to get started.

While you can use the Teams desktop and web apps to chat with or call friends and family, we are working on bringing all the other personal features available in the Teams mobile app to desktop and web soon.

Adding more features in preview on the Teams mobile app

We are also introducing new features in preview in the Microsoft Teams mobile app to make it easier to stay connected with loved ones.

Chat with people in Teams, even if they are not using the app

When starting a group chat with your friends or family, you shouldn’t have to worry about whether they will miss your chats if they don’t have Teams. This is why we are previewing a new feature on our Teams iOS and Android apps that allows you to chat with contacts who don’t have Teams installed on their phones. Simply type a contact’s name or phone number to add them to a group chat and, if they are not on Teams, they can receive and send replies to the group via SMS, keeping the conversation flowing1. SMS participants will also get a link to download the Teams app on their phone making it easy to get started on Teams and take full advantage of rich media messaging and chat via GIFs, images, or videos.

This feature is available in preview for users in the US and Canada. You can learn more about this feature here.

Get notified when loved ones leave or arrive at a location

As we all begin to responsibly step out of our homes, we are releasing new location features in preview that will make it easier for your loved ones to receive updates about your physical whereabouts. Starting today, you can allow your loved ones to receive automatic alerts whenever you leave or arrive at a designated location2. So, if you are stepping out of your home on a daily basis, you can choose to let your family get automatic departure or arrival alerts so that they know when you will be back home.

In addition to these, we are also introducing the following new mobile features:

Add group events from your chats to your device’s calendar.

Get task and location updates in your activity feed.

Add a photo to your personal Safe.

The new features have started to roll out in preview on the Teams mobile app and will be fully rolled out in the coming weeks. To get started, download the Teams mobile app from the iOS or Android app store.

We are excited about continuing to preview more features in Teams that make it easier for you to organize and manage your personal life. While today is another step in that direction, we are continuing our efforts to bring even more features to you across all devices as we work towards making these features generally available. New Teams

Hi,

With regard to your concern, you can add a new team on Cortana by following the steps below:

Click Cortana or the circle icon.

Click the Notebook icon, scroll down and click Sports.

Click Add a team and start typing the name of a team.

Select the results.

Note: If the the team does not show up in the list you cannot add it to the Notebook. We suggest that you send a feedback using Windows Feedback hub so we can take note of this feature for future updates.

Microsoft Lists in Microsoft Teams is now generally available

Today, we are proud to announce the general availability of the Lists app in Teams for all our commercial and GCC customers. As you might already know, Microsoft Lists, which we announced at Build 2020 is a Microsoft 365 app that helps you track information and organize your work. Lists are simple, smart, and flexible, so you can stay on top of what matters most to your team. Track patients, loans, issues, assets, routines, contacts, inventory and more using customizable views and smart rules and alerts to keep everyone in sync. With ready-made templates, you can quickly create lists from directly within Teams and access them on the Teams mobile app by accessing the Lists tab you added as a channel.

Introducing the Lists app in Teams

The vision of the Lists app in Teams is to bring all the collaboration and communication modalities to lists and list items, so it is easy to get work done.

Lists in Teams is supported as a team based tab app built on top of the Microsoft Teams platform and supports the following features:

New list creation from scratch, from templates (8 standard templates and 3 industry specific ones: Patients, Loans, and Incidents), from Excel table data and from an existing list.

Importing existing team lists as new tabs.

All standard list features that you can access in SharePoint web: column types, view formatting, Quick Edit, exporting to Excel, sorting, filtering, etc.

The ability to have a channel conversation about a list item (see below for more details).

All user actions on the list are audited and available in the Security and compliance center audit logging.

How do I get started?

To get started, simply go to any channel where you would like to start tracking a list and hit the “+” button to explore the tab gallery and select the Lists app. Once the tab is added you can either create a new list or bring in an existing list (from another team or an older SharePoint site, but not a personal list from Lists home) into the channel as a new tab.

The Lists app in Teams includes 3 new industry-specific templates – Patients, Loans and Incidents. Team members start managing and tracking these key entities. Here are some examples of how these templates can be leveraged.

Create a new list from within Microsoft Teams and choose from numerous ready-made templates, including the new industry-specific ones.

Healthcare organizations can use the Lists app in Teams to support patient rounding, multi-discplinary huddles and discharge planning. The Patients template is an easy way for all health teams to track patient progress and keep in touch with their peers. Government agencies can use the Lists app in Teams to track incidents and coordinated incident response. The Incidents template helps people quickly setup a list and get started.

Loan officers at a morgtage broker or bank can use the Lists app to track a set of loans and informally collaborate on advancing a them to approval. The Loans template helps them get started with plenty of scope for further customization.

How do I start a conversation alongside a list item?

Once you have configured the tab and have a list with list items, you can start a conversation about an individual list item. Go to the details view (or form) for the list item by clicking into the title field and then click on conversation to start a conversation about the list item on the channel. With this feature, you can collaborate with your team about the list item (your key business entities) and get work done, faster.

Since the conversation is a channel message in Teams, all the messaging features like @mentions, rich text, giphies, stickers, emojis, mentions, tagging, and attachments are available for use! The conversation shows up in the right rail for the list item and also on the channel for those who might not have viewed the list as yet.

You can chat side-by-side individual list items within Teams.

Just go to your Teams android or iOS mobile apps and go to the channel where you have added the Lists app and click on more and tap on the tab name to open up the list.
