Windows 10: New OneDrive features to share and collaborate across work and life

If there are two words that define the way weâve used technology this year, they might just be âremote everything.â Our jobs. Our meetings. Our kidsâ schools. Our social gatherings. Everything has moved online, accelerating our digital transformation both professionally and personally. We not only need the right apps to stay productive while working remotely, but we also need the right apps to stay connected with family and friends.

Files are often the starting point for getting work done and staying connected. Memos, presentations, photos, videosâthese are the conduit for more fruitful interactions. Thatâs why weâre excited to announce new OneDrive features across Microsoft 365 that bring a more connected and flexible files experience to business users, more control to admins, and a more personal touch to everyone at home.

âWhere can I find that file?â Itâs a question weâve all asked our colleagues, our teams, and, most often, ourselves countless times. But those five short words, which are the bane to anyoneâs productivity, will soon be short-lived.

Later this month, for our business users, weâre rolling out in public preview a new feature called Add to OneDrive that makes it easy to add shared folders directly to your OneDrive.

Shared folders include content that others shared with you through their OneDrive or content that is a part of your shared library in Microsoft Teams or SharePoint.

With Add to OneDrive, not only can you bring all your shared content into one place, but you can also work with the shared content with the same power and flexibility as if they are files you own. This means that the added content can be synced, shared, and collaborated onâand that it retains all existing security and compliance policies. The public preview rollout will be enabled in your tenants by default with the option for admins to opt out if they choose.

Add to OneDrive is just one of several features that makes your files experience more connected, flexible, secure, and personal. Read on to learn about others.

More connected

Teams sharing integrationâMicrosoft 365 should feel the same no matter which app youâre in. This is especially true for Teams, which has become central to our remote work lives. To extend this familiarity to files, soon weâre rolling out the same file sharing and access control experience in Teams that business users like yourself already know from other Microsoft 365 apps, including OneDrive, Outlook, or Office. Soon, when you go to share a file from within Teams, youâll have the option to create sharing links that provide access to anyone, people within your organization, people with existing access, or specific people, including those in a private or group chat.

Synced metadata supportâMetadata adds structure and compliance to your files. Currently shared libraries with mandatory metadata synchronizes as read-only. We are excited to announce that in the next few weeks we are rolling out an update to the OneDrive sync app supporting read and write sync for shared libraries that contain required metadata. This will enable business users to edit content in their synced libraries while working from their desktops.

Move and keep sharingâYour files should move as your workflow does. As a document moves through its lifecycleâfrom creation to review to finalâit needs to relocate to shared cloud libraries that reach a broader group of collaborators. But it needs to do so without affecting the original groupâs access. Later this summer, business users can do exactly that in OneDrive by choosing to keep sharing with collaborators when they move their files. This means all business users who had original access to a file will be re-added to it if that file changes shared library locations. Those users will now receive a new link maintaining the same permissions they had before and receive a notification about the move.

More flexible

100 GB file updatesâAs of today, we are proud to announce that we have increased the upload file size limit from 15 GB to 100 GB in OneDrive and SharePoint for everyone! This is especially helpful for business users that work in predominately large file types, like 3D, CAD, and media files. Previously released differential sync will help expedite the upload process for large files by only syncing the parts that changed instead of the entire file.
Comment notificationsâNotifications can keep you on trackâbut they can also be distracting. To help you stay productive when you need to focus, later this year, weâre adding the option to turn off comment notifications for individual files. Doing so will only affect that file, not the entire files library.

Address bar sharingâIf you access or work on a file in a browser, youâll soon be able to share links copied from your browser address bar with your internal colleagues (if admin-enabled). These URLs will respect all sharing policies, empowering natural and easy collaboration within your organization.

More control

Sync admin reportsâStrong reporting leads to strong auditing and monitoring. As an admin, you can better assist your users if you know whatâs happening in their environments. Sync admin reports allow you to do just that by providing visibility and insights on adoption and health of the OneDrive sync app across your organization. Use this new dashboard to check sync app versions, sync status, and top sync errors on individual devices. You can even monitor deployment progress of Known Folder Move, which we recommend implementing to help redirect your usersâ known folders (Desktop, Documents and Pictures) on Windows to OneDrive. Help-desk resources can also leverage these reports to support users with their sync.

Sync admin reports will be available later this year, but we are excited to share a sneak peek with you today!

Enhanced file protection and governanceâWe recently announced the general availability of several features that strengthen file protection and governance in OneDrive and SharePoint. These include Microsoft Information Protection sensitivity labels with protection, automatic classification with sensitively labels, sensitivity labels for SharePoint sites, and information barriers. Additionally, admins will soon be able to implement automatic expiration of external access, multi-factor authentication policies, like prompting one-time passcodes (OTP), as well as extending continuous access evaluations to OneDrive and SharePoint.

Streamlined admin experienceâWeâve been expanding the OneDrive toolkit to streamline the admin experience, including new options for easily migrating content to OneDrive. There are also several enhancements on the horizon. Later this year, all OneDrive admin capabilities, including controls for sharing, access, sync, and storage, will be available in the SharePoint admin center, consolidating admin tools in one place. This will unlock several enhancements in reporting, WCAG 2.1 accessibility support, Global Reader support, error messaging and performance.

This summer, weâre also releasing a new option to set mandatory expiration dates for external collaborators that can be extended or revoked based on user discretion.

More personal

Our work and personal lives have become increasingly intertwined as this super-charged digital transformation takes hold. Weâre not just managing work documents online these daysâweâre also sharing family photos, schedules, planning documents, roommate expense spreadsheets, and much, much more. And just like we expect seamless sharing and collaboration on the job, now more than ever, we need it in our personal lives.

Family and group sharingâWeâre making it easier to stay connected with family and group sharing in OneDrive, coming later this month. This new consumer feature, available on OneDrive for the web, lets you predefine a group of people from your personal life and then easily share files, photos, videos, and albums with that group. Groups can be family, friends, your kidsâ sports league, your sports league, old college buddies, new game night palsâanyone you want to stay connected with.

To share files to your group, select the file or folder you want to share in OneDrive, click Share, and then type and select the name of the group. All members of the group need a Microsoft account, and each will need to accept your invitation to the group to access it.

Family and group sharing is included in all free and paid OneDrive consumer plans and will begin rolling out soon on OneDrive for the web, with general availability expected by the end of July. It will become available on the mobile app, sync client, Mac, and directly from Word, Excel, and PowerPoint by the end of this year.

Dark Mode for the webâFollowing its releases for iOS and Android, weâre soon bringing Dark Mode to OneDrive for the web across commercial and personal accounts. Aside from its aesthetic appeal, Dark Mode also reduces eye strain and improves your deviceâs battery life.

Better collaboration with friends and familyâNewly released features like OneDriveâs file detail pane and activity feed let you see your file activity and comments in single view, so you can quickly get back into the flow of what you and your friends and family are working on together.

Peace of mindâYour OneDrive files are protected and secured by our comprehensive security features, which include file encryption, Personal Vault, virus scanning, suspicious activity monitoring, ransomware protection, and many other measures. (Note that ransomware protection requires a Microsoft 365 Personal or Family subscription.) You also get the privacy you deserve. Microsoft does not scan the contents of your files or photos for targeted ads. Our consumer privacy policy is transparent and puts you control your OneDrive data with easy-to-use settings and clear choices in your privacy dashboard.

New collaboration features on OneDrive for web

You probably know that Microsoft OneDrive backs up and protects your personal files and photos and gives you anywhere access across all your devices. But did you know that OneDrive also powers your file sharing and document collaboration?

The “share” button in the upper-right side of PC apps like Photos, Word, Excel, PowerPoint, and OneNote is powered by OneDrive. Each time you share a photo or file from those apps, you're actually sharing it from your OneDrive, where the file is stored.

To improve your sharing and collaboration experience on OneDrive for home use, we’re introducing a file detail pane and a more comprehensive activity feed. With these new features you can see activity and comment details on your OneDrive files without opening them.1 These features are now available in OneDrive for web.

Introducing OneDrive file detail pane

The new file detail pane shows the following information about each of your files (shared or unshared) in OneDrive:

A preview of the file/photo

A list of people who have access to the file/photo

All activities that have happened on the file such as creating/uploading, renaming, deleting, restoring, sharing, editing, and moving the file (ordered by most recent with a time stamp)

Comments made on pdfs, files, folders, photos and videos (ordered by most recent with a time stamp) 1

Other general information about the file/photo such as last modification date, size, path and file type

Additionally, a bell icon in the detail pane allows you to turn on or off an email notifications for file activities.

Within the detail pane you can also take the following actions:

Add a caption to a photo

Add a description to a file

Manage access to a file

Share a file with others

Change permission settings for existing users

Toggle between displaying all activity and comments only

Enable/disable commenting on a file

Add comments

Delete comments

Add or remove tags for a photo

To access the detail pane on any file or photo:

Open OneDrive in your web browser

Right-click on the file and select “details,” or select the file and click the info-button

in the upper-right corner of your screen.

The detail pane will help you access information about your file and collaborate on it with friends and family.

OneDrive activity feed

We’re also introducing an improved OneDrive activity feed, which gives you a snapshot view of recent activity and comments from the past 30 days on all your OneDrive files. In this feed you’ll see a log of recent activity such as file renaming, deleting, moving, restoring, and sharing, along with comments and edits.

All the recent activity is grouped into time sections like yesterday, last week, and more. And we've batched activity to avoid showing too much in a short time span. The activity feed helps you keep track of the recent activity on all your OneDrive files in one place.

Within the activity feed you can also take select actions. For example, you can navigate to the file or folder by clicking the name of the file/folder. For Office files, clicking on a specific activity will deep-link you to the part of the document where the activity occurred.

The OneDrive activity feed is a pane that can be opened on the right side of your OneDrive root view on web. The feed shows recent activity across all your OneDrive files.

Together the new detail pane and activity feed centralize all the recent file activity into a single view, saving you time and making it easy stay up to date on all your OneDrive files.

I get asked by users all the time, “Why should my company use cloud storage?” I always respond by saying that “cloud storage is great but, you need more than just storage and that’s where OneDrive comes in. OneDrive is all about enabling people to easily share and work together from anywhere, on any device, securely”.

Over the past year, we have worked hard to bring new sharing features to OneDrive and SharePoint, including real-time collaboration for Office for Mac as well as to iOS and Android.

Today we have several announcements that reinforce our commitment to deliver a first-class experience to our Mac, iOS and Android users.

Updates to Sharing in the OneDrive Mobile Application

We consistently hear that users are more confident and comfortable sharing files when given a simple, consistent experience across their devices. Over the past year, we’ve focused on delivering that with a unified sharing experience to Office, OneDrive, and SharePoint across desktop and web.

Today we take our next step in that journey by bringing the same, successful sharing experience that you currently see in our other clients to our OneDrive app for iOS and Android.

This feature is available now for Android users and is currently rolling out for iOS users so, make sure to keep your OneDrive app updated to the latest version when prompted. If you don’t already have OneDrive mobile on your device, you can download it here.

New Updates for Mac Office Users

In January, we introduced that enhance how teams can easily produce advanced documents, presentations, and spreadsheets from anywhere, as well as have powerful ways to search, preview, and interact with those files.

Starting this week, the OneDrive client for Mac will now be part of the Office 2016 for Mac Click-to-Run installer. This means that the OneDrive standalone client will be automatically installed as part of your Office installations rather than having to install it separately. For customers currently running the Mac App Store version, OneDrive will now automatically migrate your settings to the standalone version.

Why are we doing this? First off, we want to make getting OneDrive as easy as possible as well as you up and running quickly. Second, many customers have asked us to add the standalone version of OneDrive as it will not only automatically launch at startup but the OneDrive quick access icon will stay persistent in the Mac Finder, much the same way it does on the Taskbar for Windows users today.

Finally, this update will also bring requested functionality to the Mac OneDrive client:

Office For Mac will work with OneDrive to intelligently open your files locally if it has already synced the file rather than download a new copy, so your files will open much more quickly

For our Office 2016 for Mac users, updates made to your documents will now sync only the changes (differential sync) rather than the full file each time you save, allowing you to work faster than ever.

Files synced onto the local machine can be shared within Office 2016 for Mac with the same user experience found on all OneDrive and SharePoint endpoints so go ahead and share from anywhere.
