Windows 10: Announcing a new Microsoft Whiteboard for your Surface Hub

We are excited to announce that the most up-to-date version of Microsoft Whiteboard will roll out to the original Surface Hub over the next few weeks. This update will bring Surface Hubs onto the same version of the app currently available for Windows 10 PCs, iOS devices, and web (preview), radically expanding the possibilities for freeform collaboration across platforms. The updated version also incorporates many requested capabilities, including:

Boards automatically save to the cloud for signed-in users

Improved collaboration features, including inviting and removing access for specific users, and presence bubbles to show who is actively working on the current board

Many new canvas features, including sticky notes, images, and text entry

Convert photos of physical whiteboards to digital ink

Improve legibility of your handwritten ink

Additional background colors, pen colors, and nib sizes

Whiteboard in Teams meetings

The updated Microsoft Whiteboard app will replace the Whiteboard 2016 app on a rolling basis starting on May 22, 2019, and may take a few weeks to roll out fully. No action is required, unless Microsoft Store app automatic updates have been disabled.

Set the Microsoft Whiteboard app on Surface Hub

Microsoft Whiteboard can now replace the existing whiteboard (Microsoft Whiteboard 2016) on your Surface Hubs, enabling new and advanced capabilities.

The existing Microsoft Whiteboard 2016 app for Surface Hub allowed co-authoring between two Surface Hubs when uses were signed in to the Whiteboard.

The new Microsoft Whiteboard app is available on any Windows 10 device (and other platforms in preview) and allows all participants to co-author simultaneously. It also saves your history of whiteboards and allows you to add or remove participants on the fly. A Web sharing link is also available.

On Surface Hub, you can use the two whiteboards side by side if you wish; This means you’ll be able to choose which whiteboard you want to use based on your needs.

Currently, the existing Microsoft Whiteboard 2016 is the default one, and will launch when starting a Skype for Business or Microsoft Teams call or when launching the Whiteboard app from the Start Menu or the Lock Screen tiles.

After installing the new Microsoft Whiteboard, you’ll need to manually open your desired whiteboard app after clipping the screen on the Surface Hub and paste the content you clipped.

With the recent Surface Hub update, you now have the option to remove the original Microsoft Whiteboard 2016 app and set the new Microsoft Whiteboard app as the default whiteboard for Surface Hub.

Prior to configuring your Surface Hub, please make sure you installed the October 2018 update for Surface Hub (KB4462939) and that your Surface Hub OS version is 10.0.15063.1418 to allow for the successful replacement of the whiteboards.

Use Microsoft Intune to replace the whiteboards

Leverage the power of Intune to remotely add, remove and set the default whiteboard for Surface Hub.

Follow this article to set Intune and the Microsoft Store for Business to push apps.

Next, make sure you acquire offline copies of both apps:

Wait for the store to sync with Intune and soon you’ll see both apps:

For each app, identify the Offline version of the app in Intune:

From the Apps list, click on the app and under ‘Overview’ confirm that the app supports device licensing:

Install

To push the Microsoft Whiteboard to your Surface Hubs, click ‘Assignments’.
In ‘Add Group’, for the assignment type choose ‘Required’.
Next, choose the groups you want to deploy the app to;
Select the desired groups and under ‘License Type’ choose Device Licensing as illustrated in the following image:

Click ok and save the assignment.

Remove

To remove the Microsoft Whiteboard 2016 app from your Surface Hubs:
After identifying the Offline version of the app, in ‘Add Group’, for the assignment type choose ‘Uninstall’.
Next, choose the groups you want to deploy the app to;
Select the desired groups and under ‘License Type’ choose Device Licensing as illustrated in the following image:

Click ok and save the assignment.

Sync

Initiate a sync from the Surface Hub or Intune, or wait for the next sync cycle. Within moments, you’ll see that the Microsoft Whiteboard 2016 app is replaced with the new Microsoft Whiteboard app:

After completing these steps, the Microsoft Whiteboard app will replace the default Microsoft Whiteboard 2016 app on the Surface Hub and will launch when starting a Skype for Business or Microsoft Teams call or when launching the Whiteboard app from the Start Menu or the Lock Screen tiles.

Microsoft Whiteboard in Teams meetings empowers meeting attendees from the same tenant to participate in the conversation regardless of the device you use or where you are. Whether joining from the meeting room or remotely, you can start a new board in the Teams meeting (currently supported on desktop, web and Surface Hub – coming soon to mobile). The board is automatically shared with meeting attendees. Users can ink together in real-time on the board. On Surface Hub, Users can launch the native Whiteboard app to enable an even richer collaboration experience with features such as sticky notes, images, and gridlines. To enable Whiteboard in a Teams meetings on Surface Hub, please turn on feature here

Note: For richer collaboration, please download the latest Microsoft Whiteboard App from the Store (requires User sign-in).

Switch cameras automatically

Microsoft Teams on Surface Hub now supports switching cameras automatically. The camera will use sound and motion detection to focus on who's talking. A light appears under each camera.

Note: In this update, Users will have to manually change settings to "Auto" while in a Teams meeting via Settings.

What is new in Microsoft Teams on Surface Hub - March round up

The Microsoft Teams group announced the latest update to the Microsoft Teams app for Surface Hub recently on their blog. This update introduces new Teams features, brings back old Surface Hub features, and provides additional stability and fixes to the app.

Microsoft Whiteboard Integration

A feature that was recently introduced to Teams in preview allows integrated whiteboarding directly from the Teams app on any Windows PC.

This feature introduces the option to start a whiteboard co-authoring session with enyone that's in the meeting. There's no need to copy and paste URLs into a chat window or even invite users to the whiteboard session. The moment one user shares their whiteboard from the Microsoft Teams app, all users will automatically see the whiteboard in Microsoft Teams and everyone can work together. This isn't screen sharing. This is real-time, productive collaboration.

Whiteboard collaboration in the Teams app is not available in point-to-point Teams calls.

It's only available if you're in a scheduled meeting or if the meeting has 3 or more participants

From a Windows 10 Teams client the user will see a canvas and 4 pens on the right side on the screen:

You can also open the canvas in the Microsoft Whiteboard app:

On Surface Hub, however, the experience is even better. When anyone in the meeting initiates Whiteboard sharing, you'll be prompted to sign in to the app (if you haven't signed in before).

Signing in ensures that the whiteboard data is saved under your personal whiteboard and that you can continue to work on this canvas from any Windows 10 device.

Once signed in to the whiteboard app, you can co-author with your teammates from Surface Hub:

Auto Camera switching

The feature that was previously available only in the Skype for Business app on Surface Hub is now available in the Microsoft Teams app. Note that by default, auto camera switching is not enabled, which means you'll have to enter the Teams' app settings and set it to auto (configuration persists once set).

Additional fixes

Some of our customers reported echoes during meetings when Surface Hub joined using the Microsoft Teams app. This update fixes this issue.

If the account you're using isn't Teams enabled, the app will display a message asking your admin to enable it.

Incoming call toast behavior when the Surface Hub account is a delegate or when a call is being forwarded is fixed.

The dial pad is no longer displayed when the Surface Hub account is not enterprise- voice-enabled.
