Windows 10: Dynamic email in Google Gmail generally available on July 2, 2019

What’s changing

Earlier this year, we announced dynamic email in Gmail in beta. On July 2, 2019, this feature will become generally available and will launch on by default for all domains. This means that users will be able to access the feature unless you choose to disable it via the Google Admin console.

Why you’d use it

With dynamic email, you can easily take action directly from within the message itself, like RSVP to an event, fill out a questionnaire, browse a catalog or respond to a comment.

Take commenting in Google Docs, for example. Instead of receiving individual email notifications when someone mentions you in a comment, now, you’ll see an up-to-date thread in Gmail where you can easily reply or resolve the comment, right from within the message.

How to get started

Admins: Determine whether your users can use dynamic email by navigating to Apps > G Suite > Settings for Gmail > User settings in the Admin console and selecting from the following options:

Disable: This option will prevent users in your domain from receiving interactive emails.

Enable now (beta): This option will enable dynamic email (currently in beta) immediately. The feature will remain enabled when it enters general availability on July 2, 2019.

Enable when the feature is generally available: This is the default option and will enable dynamic email when this feature becomes generally available on July 2, 2019.

End users: Once dynamic email in Gmail launches, users will begin seeing dynamic emails from senders who are sending dynamic emails., if you’ve enabled it. Additionally, users can also turn dynamic mail off for their individual account by following the steps in the Help Center. Note: The “display external images” setting must also be enabled in order for dynamic emails to be displayed.

Google begins rolling out dynamic email in Gmail

Over the past decade, our web experiences have changed enormously—evolving from static flat content to interactive apps. Yet email has largely stayed the same with static messages that eventually go out of date, or are merely a springboard to accomplish a more complex task. If you want to take action, you usually have to click on a link, open a new tab and visit another website.

Starting today, we’re making emails more useful and interactive in Gmail. Your emails can stay up to date so you’re always seeing the freshest information, like the latest comment threads and recommended jobs. With dynamic email, you can easily take action directly from within the message itself, like RSVP to an event, fill out a questionnaire, browse a catalog or respond to a comment.

Take commenting in Google Docs, for example. Instead of receiving individual email notifications when someone mentions you in a comment, now, you’ll see an up-to-date thread in Gmail where you can easily reply or resolve the comment, right from within the message.

Businesses have also already started using dynamic email to make their emails more actionable and relevant, like Booking.com, Despegar, Doodle, Ecwid, Freshworks, Nexxt, OYO Rooms, Pinterest and redBus. Check out examples below—you’ll start to see these dynamic emails in the next few weeks.

Like the rest of Gmail, dynamic email is safeguarded by best-in-class privacy and security protections. To ensure added security, those who want to send dynamic email have to be reviewed by Gmail first before they can get started.

Dynamic emails will begin rolling out to Gmail users on the web today. Mobile support is coming soon. If you’re a G Suite customer, you will be able to enable dynamic email for your organization in the Admin console in the next few days. Heads up: if you’re using another mail app with Gmail, you’ll simply see the static version, and you can always revert back to it in Gmail, if you prefer.

Gmail confidential mode launching on by default on June 25, 2019

What’s changing

Earlier this year, we announced the launch of Gmail confidential mode for G Suite in beta. On June 25, 2019, this feature will become generally available and your users will have the option to send emails with confidential mode.

At launch, confidential mode will be set to default ON for all domains with Gmail enabled, unless you choose to disable this feature (see instructions below).

Why you’d use it

Confidential mode provides built-in information rights management controls in your emails by allowing senders to create expiration dates and revoke previously sent messages. Because a sender can require additional authentication via text message to view an email, it’s also possible to protect data even if a recipient’s email account has been hijacked while the message is active. Additionally, with confidential mode, recipients don’t have the option to forward, copy, print, or download their content or attachments.

How to get started

Admins: As an administrator, you can determine whether your users can use confidential mode by navigating to Apps > G Suite > Settings for Gmail > User settings and selecting from the following options:

Disable: This option will prevent users in your domain from sending emails with confidential mode.

Enable now (beta): This option will enable confidential mode, which is currently in beta. The feature will remain enabled when it enters into general availability on June 25, 2019.

How Gmail confidential mode works with Vault and eDiscovery

When a user sends a confidential message, Gmail replaces the message body and attachments with a link. Only the subject and body containing the link are sent via SMTP. This means that if your users send or receive messages in Gmail confidential mode, Vault will retain, preserve, search and export confidential mode messages. The message body of received messages will be accessible in Vault only if the sender of the message is from within your organization.

New Gmail now generally available

We launched an Early Adopter Program (EAP) for the new Gmail in April to help businesses work safer, smarter, and more efficiently. We’re now making the new Gmail generally available so that more businesses can take advantage of its innovative features, like snooze, nudging, offline access, and more.

As announced in April, the new Gmail features a brand-new UI alongside several features designed to help you better manage your email (and your time). For example, in the new Gmail you can:

Snooze an email until you’re ready to reply.

Get reminded to follow up or respond to old emails.

Reply with a response automatically suggested based on the email you received.

Use Gmail offline, without the Chrome app.

Options for moving your users to the new Gmail

As a G Suite admin, you can migrate your users to the new Gmail at a pace that makes sense for your organization. Starting now, the following options are available in the Admin console:

Allow my users access to the new Gmail UI and features after August 21, 2018. Your users will stay on the legacy Gmail experience for four weeks. On August 21st, 2018, they’ll start seeing the option to try the new Gmail. If they don’t choose to opt in by September 18th, 2018, we’ll automatically migrate them to the new experience starting on that date (note that this migration may take a few days). They’ll continue to have the option to opt out of the new experience until October 16th, 2018. Soon after that date, they’ll be automatically transitioned to the new Gmail and lose the ability to opt out. [NOTE: This is the default setting if your organization did not participate in the EAP.]

Default my users to the new Gmail UI and features. Your users will be transitioned to the new Gmail as soon as you select and save this setting, but they’ll have the ability to opt out until October 16th, 2018. Soon after that date, they’ll be automatically transitioned to the new Gmail and lose the ability to opt out.

Option to opt out to be removed after October 16th, 2018

Soon after October 16th, 2018, any users who’ve opted out of the new Gmail will be automatically migrated to the new experience. They won’t be able to opt out after that date. Users who’ve already transitioned to the new Gmail will lose the ability to opt out as well.

A note about Gmail offline and confidential mode settings

Gmail offline will continue to have its own Admin console setting. If your organization participated in the new Gmail EAP, your setting for Gmail offline will remain the same. If you didn’t participate in the EAP, Gmail offline will be OFF by default; you’ll need to enable it in the Admin console.

Note that confidential mode is not yet available to G Suite; stay tuned for more information on the G Suite Updates blog when it launches to G Suite users.
