Windows 10: IRM "Information Rights Management", DLP "Data Loss Prevention" software blocking infected...

Hello Microsoft Team,

Can you please help? I am having a issue with submitting a file for malware analysis to Microsoft Defender's website because it is being blocked by IRM "Information Rights Management" I can not move this file into a zip file to submit it for a closer look. How can I flag this infected file for a closer look if IRM is blocking it with file permissions blocking me from submitting it into the Microsoft Defender Website for Malware analysis? If the file is blocked with IRM or DLP software? How can we flag a file for a submission into the Windows Defender Submission site if it is under DLP or IRM software management however is a suspected virus?

Unifying Data Loss Prevention in Office 365

All organizations, regardless of size and industry, have data that they consider sensitive. Data Loss Prevention (DLP) is an important capability for protecting this information from getting into the wrong hands. We are always looking to enhance the DLP solution in Office 365 to help meet this organizational need. Today, we are pleased to announce a single management experience for DLP policy creation and reporting across Exchange Online, SharePoint Online and OneDrive for Business. In addition, we are introducing enhancements to the DLP data delivered via the Management Activity API.

Unified policy creation

To date, IT admins have managed DLP for Exchange Online via the Exchange admin center (EAC), while managing DLP for SharePoint Online and OneDrive for Business from the Office 365 Security and Compliance Center. Now admins can create a single DLP policy in the Office 365 Security and Compliance Center that covers Exchange Online, SharePoint Online and OneDrive for Business. The unified DLP platform allows organizations to manage multiple workloads from a single management experience, reducing the time required to set up and maintain security and compliance within your organization.

Apply a single policy to protect across Exchange Online, SharePoint Online and OneDrive for Business.

These changes do not impact any existing policies created via the EAC, and you will still be able to create new email DLP policies in the EAC. However, we recommend you check out the new DLP management experience in the Office 365 Security and Compliance Center, as this is where you’ll see new capabilities show up in the future.

Unified reporting

Along with unified policy creation, we also now provide a single location to view reports for your DLP policies across Exchange Online, SharePoint Online and OneDrive for Business. This makes it easier to understand the business impact of your DLP polices and uncover actions that violate policies across multiple workloads.

DLP events in the Activity Management API

Lastly, based on customer feedback, we are providing additional details for DLP events published via the Activity Management API. The Activity Management API enables organizations to connect DLP event data from Office 365 with third-party tools, such as a security information and event management (SIEM) system. Now event details provided via the Activity Management API will contain the same data as the alerts generated in Office 365 to notify IT admins when a DLP event occurs. This data requires separate permissions in Azure AD called, “Read DLP policy events including detected sensitive data,” which an admin can grant. To learn more, check out the API schema reference.

What’s next?

We will continue to invest in DLP and are currently working on new functionality—such as the ability to create custom sensitive types for unified DLP polices and a simplified DLP administrative experience. Evolving Data Loss Prevention in SharePoint Online/OneDrive

Everywhere your data exists, moves or is shared, we want to protect it. Office 365 has provided Data Loss Prevention (DLP) capabilities for email since Exchange 2013. As collaboration extends beyond email to sites and documents, we are extending the DLP capabilities to these services. Last year at TechEd Barcelona, we showed a quick glimpse of our vision for expanding DLP and today we are pleased to share more details on these capabilities.

Announcing upcoming public preview of DLP for SharePoint Online/OneDrive for Business

For the last couple of months, we have worked hard to test some of these cool new capabilities in a private preview with select customers. Later this quarter, we will bring a public preview of these capabilities to every single eligible Office 365 tenant.

Last year we made some early DLP capabilities from Phase 1 available allowing you to find sensitive information in SharePoint Online/OneDrive for Business. These helped you identify high-risk items and allowed you to take manual actions on that sensitive content. But with the Phase 2 public preview, you can now create proactive policies to remediate violations and empower your users with policy tips and notification emails so they can take the right decision while working with sensitive data, just like you do today with DLP in Exchange. Let us now look at these enhancements in detail.

Easily set up your DLP policies for your organization

With the public preview, admins can now easily set up DLP policies for SharePoint Online/OneDrive for Business from the Office 365 compliance center. Policies take the simple construct of conditions, actions and exceptions and admins can use any of the existing out of box templates to get started.

End users empowered through constant policy education

We understand that end users are a critical part of the solution to keeping data safe. As such, we help them make the right decisions when working with sensitive data, providing them with rich notifications in the context of where they are working. Furthermore, if they move out of context, we send an email notification with the policy tip information. All of this is configurable by the admin, who can set up rules that allow users to override policies by providing a business justification, which allows users to be productive while still being compliant.

Tracking policy usage and incident management

Admins can track the effectiveness of policies with the rich reporting built into Office 365. In addition, they can create admin-facing incident reports with information about each incident that can later be reviewed by their security teams.

What’s available now? What’s coming later?

With all the great new capabilities, you might ask, “What is coming next?” Well, we are not done here, we will continue to innovate and release a new set of capabilities in our Phase 3 release. Here is a view of what’s available now versus what is coming in Phase 3, which is planned for second half of 2015.

Announcing public preview of DLP for Office 2016 applications

Last month when we announced the Office 2016 preview, we mentioned DLP as one of the core capabilities within the Office applications. Later this quarter, we will make these DLP capabilities available in the preview for three different Office applications—Word, Excel and PowerPoint. With these capabilities, end users can be notified in real-time on the sensitive content they are working right within the familiar Office applications they love and use.
Let’s look at some of these capabilities in detail.

Admins can easily set up policies for SharePoint Online/OneDrive for Business that will automatically apply to Word, Excel and PowerPoint 2016 applications. If users open a sensitive file from SharePoint Online/OneDrive for Business, they will be notified of the sensitive information in context within the Office application.

Depending on the policy, the user can simply choose to ignore the policy or be asked to provide a business justification in order to continue working on the sensitive data. Users also have the option of turning off notification policies from within the Office applications.

With these advanced capabilities, you will have the ability to create DLP policies across different services while retaining the best end user experience

OneDrive sync now supports IRM protected SharePoint document libraries

Information Rights Management (IRM) lets people set access permissions to help prevent sensitive information from being printed, forwarded, or copied by unauthorized people. When permission for a file is restricted by using IRM, the access and usage restrictions are enforced even if the file reaches unintended recipients. This is because the access permissions are stored in the document, workbook, presentation, or e-mail message itself, and these must be authenticated against the IRM server.

In SharePoint, IRM lets you protect your files when downloaded and control who can access downloaded files. Downloaded files are encrypted and can only be opened by users that meet the requirements of the IRM policy set on the SharePoint library.

We are currently rolling out an update to the OneDrive sync client that supports syncing IRM protected SharePoint libraries and will hit all users by the end of January. If you want to try this out now, you can find a direct installer link below.

Follow these steps to allow your users to sync IRM libraries:

Deploy and install the RMS (Rights Management Service) client to your users’ machines.

Make sure the OneDrive sync client is up to date. The minimum version required for IRM sync is 17.3.7294.0108 and you can download it here. To check your version: Right click on OneDrive in the taskbar > Settings > About.

Have your users navigate to any IRM protected SharePoint document library and click ‘Sync’.
