Windows 10: Microsoft announces new Outlook on the web is ready

During Ignite last year we announced an opt-in experience so you could try the new Outlook on the web, give us feedback, and help us shape the changes in one of the most used productivity apps in the world. To those who tried the new experience during this opt-in period and submitted feedback and suggestions, thank you!

During the last 8 months, thanks to you, we’ve made many improvements throughout the product and today we are excited to announce the new Outlook on the web is ready.

We are humbled by the millions of people who depend on Outlook every day to connect with others, organize their days, and get things done. Let’s look at some of the main features.

Email is the heart of Outlook and where people spend a significant part of their day. We have designed the new mail experience around you and the people that are important to you – You can personalize your experience, have a little fun, do things faster, and keep those people front and center with new and updated features:

Categories
It’s now easier to identify , right from your message list. Categories make it easy to tag, find, or organize your messages. Add multiple categories to a message, add a category as a favorite, or use Search to find it.

Dark mode
Personalize your inbox with dark mode for those times when your eyes are a little tired. Don’t worry, you can “turn on the lights” when you want to read a specific email or when composing one.

Expressions
Sometimes you are out of words, luckily, images are worth a 1,000 of those. Add emojis and GIFs to your messages right from Outlook.

Favorites
Favorite what is most important to you and put it front and center in your inbox. You can favorite a contact, a group, or a category by to them so you can have easier access and see the message count for each. Once you favorite them, they sync to Outlook mobile too!

Quickly get to the emails you are composing or reading
Do you jump from writing one email to the next to reading a different one? Now it’s easier to keep track of that. When you create new messages Outlook will keep a tab for them at the bottom of the reading pane, so you can start as many as you need, go back to reading a previous email, and still find the one you were writing.

Time management is key to getting things done and to efficiently organize your day. Recently we announced new features in Outlook to help you save timewith intelligent technology - Whether you are trying to organize meetings, figure out where you have to go next, or finding a future event, Outlook is here to help you stay organized.

Calendar Search
Now you can search across multiple calendars. Search for a person, keyword, or location and Outlook will show all the matching events across your calendars. You can also use the filters to adjust which calendars you’d like to search, or the timeframe you’d like to search in.

Quickly create events
Creating a meeting is now easier. Right from the calendar surface with one click bring the quick compose form, invite people, find a room, and even get suggested times for when everyone is available.

There is just so much you can pay attention during the week. In order to help you with that, we are making today and tomorrow front and center by dedicating more surface in your calendar to them so you can easily identify your upcoming events with a quick glimpse at your calendar.

Snooze an email
There are moments in which you don’t have time to properly address an email and wish it would have arrived at a different time. For those moments when the time is not right, Outlook now allows you to snooze an email for a more convenient time. When you snooze an email, it leaves your inbox and re-appears as an unread message at the top of your inbox on the time and date you selected.

Upcoming events in month view
Seeing your calendar in month view gives you a good sense of what days or weeks are busier, and now it’s also easier to keep track of your day’s events while still seeing the big picture. In month view, Outlook also shows you how long you have until your next event.

Online meetings get more options
You likely create or attend several online meetings during your workday, so we want to make your online meeting experience as streamlined as possible – This means options on how to create your meetings, easily join an online meeting, and quickly check how many people are attending the meeting.

We’ve updated our backend to more closely reflect your organization’s online meeting policies. Depending on what services you are enabled for, you will see 1 of 3 options: i) A drop down menu to “Add online meeting” where you can select between a Skype or Teams meeting, ii) a toggle to create a Skype meeting or iii) a toggle to create a Teams meeting.

Joining an online meeting from the place where you keep track of your day should be easy. And now it is, just go to the meeting event and you can join in one click right from the event peek.

See attendees’ responses to a meeting
You can now easily identify who is invited to the meeting and see everyone’s response. We’ve added a quick summary in the event peek and in the full meeting invite attendees are grouped attendees by their response. If you use the event peek, you can see attendees’ details if the meeting has less than 3 attendees or a summary of responses if there are more.

Outlook has more than email and calendar, it’s your one place where you can connect with people, organize your day and tasks, and get things done with integrations across Office.

Tasks now sync with To-Do
The new Tasks experience now syncs your tasks with To-Do and across some Office apps like Planner in your “Assigned to me” list. Do you flag emails to remember to follow up on them? Now when you flag an email, it will be created as a task in its own “Flagged email” list in To-Do!

New AI features in Outlook on the web

You’ve heard Office has been adding intelligent technology across the suite to help you stay ahead of threats and keep you in the flow of work. We’ve also been working in Outlook to deliver intelligence that will help you stay organized and get things done.

In the next few weeks you’ll see new intelligent features across email and calendar that will help you save time. With these, you will be able to see relevant information you might need to prepare for a meeting directly in the meeting invite, create a meeting faster by clicking on a suggested reply in your conversation, or receive suggestions on where to meet.

All these are possible thanks to the new framework that powers the new Outlook on the web which we recently announced. Let’s dive into the new features.

Meeting Insights – We’ve all been there. You arrive at a meeting without the context you need to effectively participate in the discussion. Worry not, Outlook is here to help! Using the power of the Microsoft Graph, Outlook will recommend you relevant information so you can prepare for your meeting. But wait, there is more! Once your meeting is done, we’ll also help you organize and find information about past meetings. The information includes files that have been shared with you in email, public files on SharePoint or OneDrive, emails you’ve had on the meeting topic, content shared during the meeting, meeting notes, and post-meeting content. The information is uniquely tailored, so people who are in the same meeting will not necessarily see the same recommendations. To learn more, read this support article.

Suggested reply with a meeting – You already know suggested replies, which shows you 3 options at the bottom of a conversation which you can click to start a new message and add that text when Outlook detects a response that can be addressed with a short response. We are taking that a step further. Now, when Outlook detects there is an intent to meet between the people in the conversation, one of the suggested options will be “Schedule a meeting”. Click that and the meeting form will appear with pre-populated information so you can get those meetings in the books faster without breaking your email flow. Smart time suggestions – When you want to schedule a meeting, there are several methods you can use. You could send emails back and forth (we really hope you are not doing that anymore), or you could use FindTime and let your attendees vote on the best time, or you could use the well-known Scheduling assistant and look for a time that works for everyone. Wouldn’t it be great if Outlook suggested you a time and day when everyone could meet? Yes, we thought so too. When you are trying to schedule a meeting, Outlook will suggest days and times when attendees are free to meet. No more looking through free/busy schedules.

Suggested locations – Find a place to meet faster by allowing Outlook to suggest one. Next time you create a meeting click on the location bar to see our suggestions, doesn’t matter if you are looking for a conference room at work or a public place, these suggestions are tailored to you. You can also see details about these locations like address, business hours, and contact information.

We aim to bring you features that will make a difference, so some of these features will show up only in Outlook on the web while we gather data on them and evaluate whether to bring them to other Outlook endpoints.

Outlook on the web user experience gets simpler and more powerful

Starting next week, if you are a Targeted Release customer who wants to try the early version of the new Outlook on the web, simply click on the “Try the new Outlook” toggle on the top right corner of your inbox. When you click the toggle, you’ll see all new Outlook on the web modules for Mail, Calendar, and People. Opt-in and out as often as you want.

Let’s look at some of the new features you can try when you opt in to the early version of Outlook on the web.

Search – No time to search? Outlook anticipates what you’ll need based on recent conversations and people with whom you work the most.

Files – Trying to find a file in your inbox can be a time-consuming exercise, to help you with that we have added a Files module that will show you all the files that you received or sent in your inbox.
Pro tip: Use Favorites to make sure you always find files from important people.

Suggested replies – The new Outlook brings intelligent technology to your inbox to save you time. Focus on what matters more and let Outlook help with you the rest. Use suggested replies when you need to respond with a short message, just a couple of clicks and off you go.

Simplified event creation — You can now quickly add events to your calendar with updated event icons, so you can quickly identify events and see location suggestions to get address details.

Smart room suggestions – Intelligent technology in Outlook now helps you find the best room for your meetings based on the attendees, time, availability, and your preferences.

Simplified add-in experience — We’ve simplified the way you access add-ins while giving you more control. Outlook add-ins bring your favorite apps right to your inbox, so you can accomplish tasks faster—including saving an email directly to your notebook, translating emails on the fly, or paying your friends. You can access popular apps and and services like Boomerang, Evernote, GIPHY, Gfycat, Microsoft Translator, MojiLaLa, PayPal, Trello, and more right from your inbox.

If you were using add-ins in the classic Outlook on the web experience, they will show up pinned next to mail actions or in the drop-down menu once you open an email in the new experience. You can also install more add-ins from the Office Store—simply open an email, click the drop-down menu, and select Get Add-ins. Once installed, add-ins will show up in the drop-down menu. You can also choose to pin frequently used add-ins.

More ways to use and manage groups in Outlook – Group-based collaboration, powered by the Office 365 Groups service, is an integral part of working in Outlook. We received a lot of valuable feedback on groups in the past and based on that we are excited to announce we have improved existing features such as faster and simpler group creation, richer group card, more efficient group email triage, and we are also introducing new features such as group Files view that focuses on the latest file activity and group management in the People module.

Favorites makes things front and center – Many things at work are important and then there are the ones you can’t miss like an email from your manager or a project’s requests and updates. Favorites is perfect for those times, just add specific folders, people, or categories to your Favorites to keep them only a click away.

More ways to keep up with your groups - Groups cards can now be used from anywhere inside Outlook to view membership information, and group owners can take membership actions as well, or navigate to group apps or group resources such as Files, Planner, and SharePoint site.

List of features not yet available in the early version of the new Outlook on the web

On September 10th, when Targeted Release customers can opt-in to the early version of the new Outlook on the web, there will be some features that won't be available yet in that early version of the new experience.

If you need to use a feature that is not yet available you can opt-out of the early version and opt-in again later, as often as you want.

Mail

1. Reading Pane and Mail Compose

No chat or call functionality integrated in your inbox

Edit "Send From" address

Policy tips - Policies will be respected and actioned but users will not see prevention tips.

2. Folders and Message List

Shared Folders - No ability to share individual folders across mailboxes.

Folder retention policies - No support for administrators being able to set how long emails are retained in certain folders. Ex: Changing how long emails stay in Junk email before being automatically deleted

Calendar

1. Forms

Not able to add or remove time zones.

No Mailtips available in Calendar while reading/composing

No ability to propose a new time from the meeting invite

No email reminders

2. Calendar Surface:

No ability to open calendars from organization's directory (in classic experience known as: to add a calendar "From directory")

Public folders - No suppport to create a calendar in a public folder or manage/share it

No out of office (OOF) toast message that shows up in the form, if at least one of the attendees that you are trying to schedule for is OOF

No ability to publish calendars to an HTML link (that others can view) or an .ics endpoint (that others can subscribe to).

Weather settings - no ability to set your weather location(s)

No support for printing calendars

Fundamentals

No keyboard shortcuts + accessibility

People

Public Folders – ability for multiple people in the company to access a given folder is not yet supported

We are working to bring these features soon but you can always use them by opting out of the early version of the new Outlook on the web.

An early version of the new Outlook on the web will be available through an opt-in toggle

In June we announced updates to the Office 365 user experience, including a simpler and more powerful Outlook on the web, which would show up later in the summer. Starting September 10th, we’ll roll out an opt-in toggle so users can try this early version of the new web experience. Users who try this early version of the new Outlook on the web can go back to the classic experience as often as they want.

Users will see “Try the new Outlook” next to the toggle and can opt in (and out) of the trial as often as they want. However, we also want to ensure that admins can control whether their users see this toggle.

If you’re an Office 365 admin and you don’t want your users to have access to the opt-in toggle, you need to complete the following steps prior to September 10th, 2018:

1) Connect to Exchange Online PowerShell.
2) Review the OWA mailbox policies that have been created previously. To do this, run Get-OwaMailboxPolicy.
3) This will output all the policies that have been created. If you have multiple policies, you will want to adjust each policy that you want to block the new experience opt-in toggle.
4) Most tenants will have a single policy, and they should run the following command to turn off the toggle:
Set-OwaMailboxPolicy "Policy Name" -OutlookBetaToggleEnabled $false

After this is complete, Outlook on the web will honor the policy and not show the “Try the new Outlook” toggle.

GUIDE:How to transfer contacts from Microsoft Outlook to Gmail

I'm sitting here in the office, its the end of the year in the school system, and several employees transferring to alternative counties. With this it brings loads of transferring contacts to take with them from their company phone. Well, this one in particular sparked a guide idea. So here it is, How to transfer Outlook contacts to your Gmail account.

Step 1: Sign in to your outlook account.
step 2 In the top left hand corner click File > Import/Export > Export to file > Browse to desired place to save your file > export. Be sure you export the file as .csv (comma separated values)
Step 3 Log into your Gmail account
Step 4 Select 'Contacts' In the subsection you will see a 'Import' button on the right-hand side. Click it.
Step 5 Browse to the location where you saved it > Open it > Click Import.

I would have provided pictures, but I use neither Outlook or Gmail. Hope someone somewhere gets some use from this. *Toast :toast:
