Windows 10: OneDrive Roadmap Roundup of latest new features in April 2020

We hope all of you are taking care of yourselves and staying safe. The OneDrive team is hard at work to maintain service uptake as well as roll out features to provide quality product performance and experience.

Here are the latest functionalities that landed in production in the month of April-2020.

Sensitivity labels with protection for Office files in OneDrive & SharePoint

Sensitivity labels are central to how your business-critical data is protected using Microsoft Information Protection (MIP). Admins can create a sensitivity label and associate protection policies like encryption and visual marking enabling your users to classify and protect organizational data. You can also be assured that the protection will persist with the file throughout its life cycle. Yesterday, we announced general availability of sensitivity labels with protection for Office files in SharePoint and OneDrive. This is one more step to providing you comprehensive protection across documents and emails in Microsoft 365 services.

Users will now be able to view, restore and delete previous versions of their files directly in their desktop via File Browser or Mac Finder.

Ability to delete a locked file

We have received feedback that people are unable to delete a document in their OneDrive because they had it open in another tab on a different computer, or because someone else had it open and forgot about it, effectively locking the document. This new feature allows you as the file owner to override that lock and delete an Office file in your OneDrive while someone (or yourself) has it open, intentionally or not.

Ability to delete a file when locked.

Sync app update process

We release updates to sync app for Windows and Mac through rings of validation which constitutes of Insiders, Production and Deferred rings. Deferred Ring was previously referred to as the Enterprise ring.

We encourage users to stay in the production ring which is the default. You can learn more about the OneDrive sync app update process here.

OneDrive Roadmap Roundup of latest new features in January 2020

Happy new year! Welcome to the first roadmap round up of 2020.

We celebrated some top moments at Ignite’19 in November and are proud to be rolling out some of those exciting announcements.

Here is the latest and greatest that landed in production in the month of January 2020.

Support for migrating OneNote via KFM

Support for migrating OneNote via KFM

The most awaited feature is finally here! We have now enabled migrations of local OneNote notebooks to OneDrive via PC folder backup (Known Folder Move).

Users with local OneNote notebooks will now have their OneNote’s automatically backed up as a part of the PC Folder Backup move. You can continue saving files to the folders they are familiar with as well as have access to their files in these important Windows folders from anywhere.

Conditional access for macOS
Roadmap ID: 16636

OneDrive for Mac now respects conditional access for policies such as forced Multi-Factor Authentication, location-based IP range filtering, and device compliance (as managed by Azure Intune).

Devices that do not fulfill the conditional access requirements will not be able to sync content.

This feature is currently in Public Preview and will soon be Generally Available.

Single sign on with Office for macOS
Roadmap ID: 59235

The OneDrive sync client now shares credentials between the rest of the Office suite on macOS.

Accounts that have been signed into Office will now be a selectable option in OneDrive when adding a new account, allowing a user to setup without prompting for password and credentials. Similarly, accounts that have been signed into OneDrive will be available in the Office applications to sign in with.

This feature is currently in Public Preview and will soon be Generally Available.

Update to email notifications for shared content

We are always working towards improving OneDrive and Outlook integration for better user experience. We have now standardized the email notification templates to reflect consistency across products along with adding file previewer thumbnails and activity details.

Reply to an Office comment from Outlook using actionable messages
Roadmap ID: 60807

With this update you will be able to save time and collaborate faster with comment and context previews in @mention and comment emails. This implies, when using Outlook, you'll be able to reply to the comments without even needing to leave Outlook.

Default to People with Existing Access on a per-site basis
Roadmap ID: 60335

Prior to this change, OneDrive and SharePoint Administrators could choose either "Anyone", "People in my organization", or "Specific People" when setting the default sharing link on a per-site basis.

We are adding "People with Existing Access" as a new default option. So now when you share or copy a link, you will be able to receive an existing access link that does not change the permissions on the item.

Additional link types are still available in “Link Settings” if needed, and this update does not change any existing default settings.

This feature is initially configurable via PowerShell but will be customizable in the modern SharePoint Admin Center in the future.

OneDrive Roadmap Roundup of latest new features for April 2019

The OneDrive team has been hard at work so you can more easily access, share, and collaborate on all your files from anywhere. April 2019 brought a slew of updates to OneDrive in Office 365 – from a pervasive fluent design update, sync updates to managing sharing access.

Here are latest features that began rolling out this month:

New golden folder icon design

Improvements to the OneDrive sync client

Incident deflection

Self-help option

Prompt for pending uploads

Updated "manage access" pane for classic user interface (UI)

Expanding “Block Download” – available now for “Specific People” sharing link

Update to required document properties in Office client applications

Let’s dive into the details…

New golden folder icon design

As we continue rolling out the Fluent design language and the refreshed Office brand icons, we are refreshing the representation of one of the most commonly used objects across the suite: The file folder. We are introducing golden folders with subtle, yet noticeable clues emblazoned on the icon to remind you of the contents and sharing status of each folder. Lastly, the color palette has been handcrafted to connect your content across the suite, and individually tested and fine-tuned for all the devices you care about.

Folders will now appear golden across mobile and web in OneDrive, SharePoint and connected experiences in other apps - with visual icons to remind you of the contents and sharing status. (Web on the left, in OneDrive for iOS on the right)

We are rolling out the design across mobile and web in OneDrive, SharePoint and connected experiences in other apps, with no disruption in the functionality you rely on.

Improvements to the OneDrive sync client

OneDrive lets you easily store and access personal and shared files in Microsoft 365, including those in Microsoft Teams, SharePoint and Outlook, from all your devices. Your documents, photos, and other files are always with you in OneDrive. Using the OneDrive sync client, you can access and share all your files directly from your desktop in Windows File Explore or macOS Finder. Plus, save space on your PC or Mac with OneDrive Files On-Demand.

Self-help option: “Illegal files names not syncing”
A new in-app resolution to sync errors – like when using an Asterix “*” symbol or any file name starting with “~$” – to help avert and solve naming blockers, to then rename the file and continue with upload. [Roadmap ID: 49314. Learn more]

Request assistance
Look for a new "Get Help" option in the OneDrive activity center on your desktop. This enables people to initiate a support ticket. Note: Office 365 admins can turn off this setting if required. [Roadmap ID: 49313. Learn more]

Prompt for pending uploads
And one last “wait, before you go” feature… the OneDrive sync client will also notify users when they have pending uploads when the computer is shutting down or going into standby. [Roadmap ID: 50729. Learn more]

Updated "manage access" pane for classic user interface (UI)

We are making it easier for people to manage access permissions, remove individual recipients from shared links or stop sharing overall - all when working within the OneDrive classic user interface. In the classic view, if you go to the advanced permissions page for a file or folder, you will now see a “manage links” option which will take you to the more modern interface to review, add, adjust and remove access to a file - in line with where the file lives - OneDrive or SharePoint. You can also see and manage any and all sharing links that have created on the file or folder.

Manage access permissions, remove individual recipients from shared links or stop sharing overall - all now working within the OneDrive classic user interface.

Expanding “Block Download” – available now for “Specific people” sharing link

We are expanding the “Block download” functionality that allows people to block recipients from downloading, copying and pasting shared content. Previously, this capability was only available when using the “Anyone with the link” style sharing link. And now, it is available when using the “Specific people” style sharing links.

You can now choose to block download when creating sharing links to "Specific people."

Click Share > Specific people > uncheck the “Allow editing” box > select Block download; and then click the Apply button to create a new, unique link you send to specific people of your choice – so they can view the document, but cannot download it, or copy/paste from it. Note: Block download is only available for Office documents today.

Update to required document properties in Office client applications (reference “SharePoint Properties” in Office)

It is a best practice to provide required document properties (metadata) – to maintain and promote good information architecture (IA) throughout your organization, which in turn makes documents more discoverable and easier to organize.

Previously, if a person attempted to save their document and had not provided information for required document properties, they couldn’t save their document/changes to the SharePoint document library and would see a dialog message explaining that some of the properties are missing; a cumbersome state when attempting to confidently save work. We’re updating how this works.

This is the backstage of Microsoft Office Word where you can see the properties of the file and edit them; here shown in the document I used to write this blog with my team. It can be saved even if required fields are not filled in yet.

Users will now be able to save Office files (Word, Excel, and PowerPoint desktop apps only) with missing required properties. This change will only apply to the Office files synced by the OneDrive sync client. Document properties will continue to be available for viewing and editing through the document backstage (Office app > File > Info > SharePoint Properties). Additionally, users can add, or update required properties for a document by navigating to the file in the SharePoint document library and entering the appropriate value.
