Windows 10: Receiving Connecting to Printer when trying to print from MS365

I have 1 user who receives a window Connecting to Printer for any print function in Windows 11. I have uninstalled/reinstalled the printer drivers without any success. I have run SFC and DISM with no errors. This is a new workstation which was upgraded to Windows 11 during installation so there wasn't a lot of extra applications installed. I have 6 other workstations done the exact way with the same applications and there were no problems. Does anyone have any other troubleshooting ideas?

Windows 10 Home Won't Print to Remote Printer


I have three computers.
Machine 1: Windows 10 pro, has the USB Brother HL-5040 printer
Machine 2: Windows 10 pro, prints OK to the remote printer.
Machine 3: Windows 10 home, Used to print, but not anymore (THIS IS THE PROBLEM).
I’ve tried everything that I can think of, and would appreciate any suggestions.
I did these steps on Machine 3 that did not work.

1. Remove the printer device.
2. Add a Printer
3. The printer that I want isn’t listed
4. Select a shared printer by name
5. Browse
6. Select the displayed Machine 1.
7. Select the displayed Printer.
8. Next
9. Failure “Connect to Printer”.
10. Add a printer using a TCP/IP address or Hostname
11. Next
12. Set Hostname to Machine 2, and set port name.
13. Detecting TCP/IP Port
14. Additional Port information required.
15. Device Type – Standard, Brother Port Server
16. Next
17. Detecting the Driver Model
18. Install The Print Driver
19. Select Brother and Brother HL-5040
20. Next
21. Replace the Current Driver
22. Printer Name (setting it to HL-5040)
23. Next
24. Do not share this printer
25. Next
26. You’ve successfully added “HL-5040”
27. Finish

Printing on Machine 3 puts the document in the print queue, which reports error printing.
Printing from Machine 2 to the printer on Machine 1 works perfectly.
All three machines are in the same HomeGroup. Machine 3 can access the shared files from Machine 1.

 

Windows 10 printer no longer prints

The "test printer install" suggests you haven't purchased it yet or don't have it at hand. All I can offer now is that most printer installs offer the install but connect later, puts an icon on the Desktop to finish after actually connecting it.

One thing about Win10 is it may automatically pick up a newly-connected printer and give at least basic printing, may be listed in Devices and Printers in Control Panel, Devices and Printers or Settings, Devices.

 

Printer will not print color

• What is the Version and Build of Windows 10 installed? (Type winver
  in Windows search/Run command)
• What is the make and model of the PC?
• What is the model number of the Printer?
• Are you aware of any changes on the PC prior to this issue?

• How is the printer connected to the computer (Wired/Wireless)?

Let us try a few steps and check.

Method 1: Run Printer Troubleshooter

1. Click on Start button and then Settings .
   
2. Click on UpdateandSecurity and then click on
   Troubleshoot.
   
3. Run the troubleshooter for Printer.

Method 2: Update Printer Driver.

We would suggest you to connect the printer to the PC as wired connection, then download and install the
Firmware & Software Utility driver from HP website.

Method 3: Check Printer preferences.

1. In the software application you are trying to print from, click File, and then click Print.
   
   The Print window opens.
   
2. Open the Properties dialog box.
   
   Depending on the software application, the button might be Properties, Options, Printer Setup, Printer, or Preferences.
   
3. Depending on your print job, you might consider modifying the following settings:
   
   • Black and White: If you want to print in black and white only, select the grayscale option.
     
4. ​After selecting the print settings, click OK to apply the settings, and then click Print.
